Delegates may or may not be eligible to attend both meetings, and should refer to the invitation for clarity regarding which meeting/s they will be attending.
Both the REC TCC meeting and Regional Transit Workshop will take place at the Southern Sun OR Tambo International Hotel, O.R. Tambo International Airport, Jones Road, Johannesburg, South Africa. An interactive map of OR Tambo International Airport and the hotel will be provided via email to participants with confirmation of registration.

Passport and Visa Requirements
Each participant must have a passport valid for travel, i.e. passports must be valid for 6 months from date of entry in order to obtain a visa. Participants from countries with a resident South African diplomatic mission must apply for their visas as soon as possible. Please contact the event organisers for any assistance you may need for your visa issuance. Invitation letters and other relevant documentation can be provided on request. Please note that participants from countries where a South African diplomatic mission is not present may receive a visa on arrival at OR Tambo International Airport provided such proof is forwarded to the organizers no later than the 25th of October 2017.
Yellow Fever Entry Requirement
Please note the Government of South Africa requires proof of yellow fever vaccination if you are travelling from a country with risk of yellow fever. It is however advisable for all traveling participants to have a valid vaccination card.
Vaccination should be approved by the World Health Organization (WHO) and administered at least 10 days before departure for South Africa at any yellow fever approved vaccination centers as the vaccine offers protection 10 days after administration. If vaccination is administered less than 10 days before departure, traveler may be refused entry.
The South African Department of Home Affairs has indicated that visas on arrival will not be granted to participants with South African diplomatic missions in their country of residence.
Visa costs for the sponsored participants will be refunded by the organisers, upon presentation of the copy of the passport endorsed with the appropriate official stamps and of the official receipt issued by the South African consular department.

The organisers will contact sponsored participants to propose a suitable travel itinerary. After the acceptance of the travel routing from the participant, the organisers will issue the tickets and email the electronic ticket to the participant. Economy class tickets for the most direct and cost effective route will be booked. Sponsored participants are therefore kindly requested not to make any reservation nor purchase any ticket since cost reimbursements cannot be made.
Please ensure to keep all your boarding passes, ticket stubs and other travel documents to hand to the organisers on the first day of the event.
Sponsored participants will receive a daily allowance of 40 USD per overnight stay during the REC TCC Meeting and the Regional Transit Workshop. The daily allowance covers incidental costs not already covered by the meeting. The per diem will be paid in ZAR (South African Rand) on presentation of passports and boarding passes and on completion of the signed receipt of payment given by the organizers. No per diem will be paid without presentation of these documents.
Accommodation for sponsored participants will be booked by the organisers at the Southern Sun OR Tambo International Hotel. Breakfast is provided as part of the room package. Any other personal costs incurred during you stay is for your own account and should be settled with the hotel before checking out. Sponsored participants are requested not to make any flight or accommodation bookings as cost reimbursements cannot be made.

The Southern Sun OR Tambo International provides a free shuttle service to and from O.R. Tambo International Airport. This service is available 24/7 and the shuttle runs every 15 minutes. The pick-up point at the airport is situated behind the InterContinental Hotel at the bus / shuttle terminal. From the International / Domestic Arrivals terminals in the Airport, simply follow the “Public Transport” signage, which will take you past the Car Hire section and onto the shuttle terminal. The following refreshments will be served daily during the meetings:
- Coffee and tea on arrival
- Mid-morning and afternoon coffee breaks with snacks
- Buffet lunch with one soft drink
Please inform the event organisers at email@example.com of special dietary requirements no later than one week prior to the event so that suitable arrangements can be made.

The South African electricity supply is 220/230 volts AC 50 HZ. Most plugs are 15 amp 3-prong or 5 amp 2-prong, with round pins. If an adaptor is called for, it is advisable to purchase one before your arrival or at the airport on arrival. US-made appliances may need a transformer.
The currency of South Africa consists of banknotes and coin and is denoted in Rand (R) and Cents (c) with an average exchange rate of 1 USD = R13.00. Please note that only South African currency (ZAR) is accepted as payment.
The average temperature in Johannesburg ranges between 19°C / 66°F and 25°C / 77°F. Occasional rain showers may occur during November.
